    Job Description
    Purpose:  To provide administrative and clerical support for the ministry of the congregation, including maintaining appropriate records and filing necessary reports relating to these functions.
     
    Accountability: The Administrative Coordinator reports to the Head of Staff (HOS) and works under the general direction of the Administration & Finance (A&F) Committee of the Session.
     
    Terms of Employment:  This is a full-time position. Compensation shall be determined by the congregation’s Administration & Finance Committee, and specified in an Employment Agreement.
     
    Requirement:
    Be proficient with Microsoft Office Suites, including Word, Publisher, Excel and Constant Contact. A High School diploma (or equivalent) is required, a college degree preferred.
     
    Key Responsibilities:
    • Hospitality: Serve as the main point of contact in the office for member and visitor assistance in the church, as well as the primary receptionist for the phone,
    • Manage a broad variety of administrative tasks: correspondence, maintaining the master church calendar for all RGPC and community groups, events and activities, compile documents for meetings, order office supplies.
    • Direct Assistant to the HOS
    • Assist staff members and Session committee chairs as needed.  
    • Prepare all bulletins for church services, as well as, administrate Sunday flower dedications and order arrangements from our florist.
    • Ensure all church records and membership files are kept in order and up-to-date.  Maintain the official books of the church.
    • Purchase Food & Gas Cards for pastoral distribution.
    • Coordinate the annual May Adult Work Weekend Retreat with the HOS– location, paperwork, liaison between RGPC and the camp
     
    Administration:
    • Pastoral Care: Keep records on those who are ill, undergoing treatment, in hospitals, nursing homes and hospice. Place prayer request members in the Sunday bulletin and notify the appropriate staff. Include names in the weekly Wednesday Prayer Group list. Maintain the Staff Care Card Ministry.
    • Notify church staff members and attend weekly staff meetings, take minutes, and distribute to staff.
     
     
    Administration: (cont’d)
     
    • Prepare monthly Session packets (The Session does not meet in July and August.)
    • Prepare 4 seasonal congregational newsletter mailings a year.
    • Prepare and maintain correspondence and records in support of Session and Deacons meetings, new members, installation and ordination records.
    • Prepare and coordinate all input in the Annual February report for the Congregational Meeting.
    • Prepare the General Assembly Statistical Report and assist in the Presbytery audit of the church register and session minutes.
    • Ensure familiarity with the church’s Social Networking, Child Safety, Confidentiality, and RGPC Policies and Procedures.
     
    Communication:
    • Create Constant Contact email blasts as needed.
    • Prepare the Constant Contact Wednesday Prayer list blast and the Friday worship and church happenings in the week ahead.
    • Communicate all requests for building usage to the appropriate staff and the Administration and Finance Committee.
    • Open the mail and distribute.
     
    Security System:
    • Set the weekly door security program for all church functions, maintain records of the church entry FOBs (and keys), assign, activate/deactivate FOBs for any authorized person per the RGPC FOB Policy.
    • Serve as the point of contact with the Guardian Alarm Company, supplier of the alarm system.
